DISCLAIMER: Translated captions on Zoom may not be perfect, but it is important to make our office’s community meetings as accessible as possible. We will post the transcript after the event on our website, and that will be available for more translation as needed.
- Navigate to the menu bar on the Zoom meeting and locate the “Show Captions” button.
- Click on “Show Captions” in the menu bar to access the menu shown below. Once there, switch “Translation” on, so the white circle is at the right-hand side of the oval.
- Once you have turned “Translation” on, a white message box will appear in the middle of your screen. You can select your speaking language and your caption language from the drop down menu. The options available for selection are located here.
- Once you have selected your languages, ensure the “Enable Translation” box is checked blue and hit “Save” in the lower right corner of the white message box.
- You should begin to see the captions appear at the bottom of the Zoom window, just above the menu bar.
- To turn off captions for yourself at any time, navigate back to the Zoom menu bar and hit “Hide Captions”. The captions will continue to be generated in your chosen language, however they will no longer appear on your screen in real time.
- If you would like to increase the size of the captions, or change the color of the text, you are able to do so by clicking the “Show Captions/Hide Captions” button in the Zoom menu bar and clicking “Caption Settings” (see the image under Step 2 for guidance). A white message box will appear in the middle of your screen, with options to increase the size of the caption, change its color, etc.
If you would like to see the entire transcript of the meeting, navigate to the Zoom menu bar and select “Show Captions/Hide Captions”. The menu displayed below should open and you can select “View Full Transcript”.
Note: If you have changed your caption language, the transcript will be translated into your selected caption language from the moment you make your selection onwards (so, if you change your caption language halfway through the meeting, Zoom will not go back and translate any of the content up until that point).
You can also save the transcript yourself by navigating to the Transcript window that opens when you select “View Full Transcript” and selecting the “Save Transcript” at the bottom of the window.
